Features
TradeOwed is certificate-of-insurance software for subcontractors and the contractors who hire them: it stores COIs, licenses and W-9s, sends them to GCs, collects them from subs, and warns you before anything lapses. It costs $29 a month or $290 a year, with a 14-day free trial and no card needed.
AI reads your certificates
Upload a COI as a PDF or photo. TradeOwed reads the carrier, policy numbers, effective and expiration dates and coverage limits, flags anything it’s unsure of, and asks you to confirm before saving. W-9s are never sent to the AI.
Status you can read at a glance
Every document shows current, expiring (30 days or less), expired or needs review, so you always know what’s off before a GC tells you.
Expiration reminders
Email reminders at 60, 30, 7 and 0 days before anything lapses. Owners and admins can change the schedule under Notifications.
Send COIs to general contractors
Pick documents and GCs, add a note, and send. Each GC gets a secure link that works for 30 days and needs no account. You see when each one was opened.
Automatic renewal resend
Upload a renewal and TradeOwed links it to the old certificate. Every GC that had the old one gets the new one, automatically or with one click.
GC requirements on file
Keep each GC’s contact details and their insurance requirements next to everything you’ve sent them.
Collect COIs from your subs
Import your sub list, send no-login upload links, review what comes in, and approve or reject with a note. Subs are reminded before their documents expire.
Team access
Invite up to 5 people with owner, admin or member roles. The last owner can’t be removed by accident.
Activity log
Uploads, sends, views, approvals and changes are recorded with who did them and when.
Export everything
Download all your records as spreadsheets and every file in one zip, any time, including after you cancel.
Built-in help
Short how-to videos inside the app, plus a support form that reaches a real person.
Works on your phone
Upload from your phone’s camera on site, check a sub’s status from the truck, send a COI from anywhere.
